Fox & Harbor Travel Co. is committed to providing thoughtful, inclusive, and professional cruise and Disney vacation planning. These policies explain what clients can expect when working with us. By using our services, you agree to the applicable terms, supplier rules, and trip-specific agreements provided during the planning and booking process.

Email is Fox & Harbor Travel Co.’s primary method of communication because it provides a clear written record of trip details, decisions, deadlines, and approvals. We may also communicate by phone, text, video meeting, or another approved planning platform when appropriate.
Regular business hours are Monday through Thursday, 9:00 a.m.–6:00 p.m. Eastern Time, and Friday, 9:00 a.m.–5:00 p.m. Eastern Time. The office is closed on weekends, federal holidays, and announced closures. Routine inquiries and client messages are generally answered within one to two business days.
Consultations and planning calls are available by appointment. Clients are responsible for providing current contact information, monitoring email—including spam or junk folders—and responding promptly to requests for information, approvals, signatures, and payment authorizations.
Fox & Harbor Travel Co. is committed to serving travelers of all backgrounds, identities, abilities, family structures, and travel needs with patience, honesty, and respect. We ask for the same courtesy in return. Harassment, threats, discrimination, abusive conduct, fraud, or repeated hostile behavior may result in services being paused or discontinued.
If you have a concern, please contact us by email with your trip details and a clear description of the issue. We will review good-faith concerns fairly and explain what can be resolved by Fox & Harbor Travel Co. and what must be handled by a supplier, travel-protection provider, or other third party.

Fox & Harbor Travel Co. offers a complimentary 30-minute Fit Consultation to learn about your trip, discuss your goals and needs, explain our process, and determine whether we are a good fit. The consultation does not include customized research, live pricing comparisons, detailed recommendations, reservation holds, or a formal proposal.
Planning fees support the personalized research, expertise, administrative work, and care involved in creating recommendations around your priorities—not simply making a reservation. Direct-client planning fees currently begin at:
Cruise vacation planning: $49
Disney vacation planning: $99
Group travel planning: $250
Your exact planning level and fee are confirmed after your Fit Consultation and before research begins. Fees may vary based on trip length, number of rooms or staterooms, number of households, destinations, travel dates, requested components, and overall planning complexity.
Standard planning generally includes personalized research, thoughtfully curated options, reasonable revisions, booking guidance, deadline monitoring, general pre-travel information, and support for reservations booked through Fox & Harbor Travel Co. A detailed day-by-day itinerary, extensive comparison shopping, additional destinations, major changes to the original trip concept, or unusually complex coordination may require an Expanded Planning Add-On or separately quoted service. We will always explain and obtain approval for any additional fee before beginning that work.
Planning fees are separate from supplier deposits, vacation costs, travel-protection premiums, cancellation penalties, and other travel expenses. Once customized research or other covered planning work begins, the planning fee is earned and non-refundable.
Eligible Avoya Live Leads are not charged a planning fee when Avoya’s applicable no-fee guarantee or host-agency rules prohibit one.

Travel prices, promotions, and availability are controlled by suppliers and can change at any time before a reservation is confirmed. A quote or proposal is not a reservation, invoice, or guarantee of price or availability.
Unless specifically listed as included, clients should not assume that airfare, baggage fees, transfers, parking, gratuities, travel protection, meals, excursions, passport or visa costs, resort charges, or other incidental expenses are included in a quote.
A reservation is not confirmed until the client has approved the exact details, provided all required traveler and payment information, completed any required deposit or payment, and received a valid supplier confirmation number.
Clients are responsible for:
Providing complete and accurate traveler information exactly as it appears on required identification;
Reviewing all proposals, invoices, confirmations, and travel documents promptly;
Meeting supplier payment deadlines and responding to time-sensitive requests;
Verifying that names, dates, destinations, room or stateroom categories, and other reservation details are correct;
Understanding and complying with applicable supplier and government requirements; and
Obtaining the consent or authority required to provide information or make decisions for other travelers.
Fox & Harbor Travel Co. is not responsible for price changes, expired promotions, lost availability, or missed deadlines caused by delayed or incomplete client responses.

Supplier payment schedules, change rules, cancellation terms, refunds, credits, and penalties vary by cruise line, resort, airline, tour operator, travel-protection provider, and other supplier. Clients are responsible for reviewing and accepting the applicable terms before a reservation is finalized.
Changes or cancellations must be requested in writing whenever possible. A request is not complete until Fox & Harbor Travel Co. confirms the action or the supplier provides confirmation. A supplier may charge change fees, cancellation penalties, fare differences, administrative fees, or other costs. These charges are separate from Fox & Harbor Travel Co.’s planning fees.
Planning fees are non-refundable once planning and research begin, even if a client decides not to book, cancels a trip, books elsewhere, becomes unable to travel, or no longer responds.
Any supplier-held funds, refunds, future travel credits, vouchers, or insurance claims remain subject to the supplier’s or provider’s own terms, processing times, eligibility requirements, and final decision. Fox & Harbor Travel Co. cannot guarantee that a supplier will approve a refund, exception, credit, or reimbursement.

Travel protection is strongly recommended for every trip. Travel protection may help with certain covered losses related to trip cancellation, interruption, delays, baggage, medical emergencies, and other unexpected events, depending on the policy purchased. Coverage varies, exclusions apply, and clients are responsible for reviewing the policy carefully before purchase.
Fox & Harbor Travel Co. can provide general information and help connect clients with available travel-protection options, but we do not determine coverage or guarantee claim approval. Questions about coverage, exclusions, pre-existing conditions, claims, or medical suitability should be directed to the travel-protection provider or an appropriately qualified professional.
Clients are solely responsible for obtaining and carrying the required travel documents for every traveler, including valid passports, visas, government-issued identification, vaccination records, parental-consent documentation, and any other documents required by a supplier or government authority.
Entry, health, immigration, customs, and documentation requirements can change. Fox & Harbor Travel Co. may provide general guidance, but clients must verify current requirements through official government and supplier sources before travel. We are not responsible for denied boarding, denied entry, missed travel, fines, expenses, or other losses caused by missing, expired, inaccurate, or insufficient documentation.

Fox & Harbor Travel Co. welcomes conversations about mobility, sensory, neurodivergent, cognitive, dietary, medical-equipment, plus-size comfort, and other travel considerations. These needs are a normal and important part of thoughtful travel planning.
We will make reasonable efforts to understand your priorities, research suitable options, communicate relevant requests to suppliers, and help you identify questions to ask before booking. However, accommodations, accessible rooms or staterooms, equipment availability, onboard services, dietary requests, transportation assistance, and other accessibility features are controlled by the supplier and are not guaranteed until confirmed by that supplier.
Clients should share relevant needs as early as possible and provide accurate information needed to make an appropriate request. Fox & Harbor Travel Co. does not provide medical, legal, or accessibility-certification advice. Clients remain responsible for determining whether a trip, supplier, accommodation, activity, transportation option, or destination is appropriate for their own circumstances.

Clients who are actively traveling receive priority assistance when an urgent travel-related issue occurs outside regular business hours. Examples may include a transportation cancellation, missed connection, denied boarding, serious confirmed-accommodation issue, cruise or tour disruption, or another event that materially affects an active trip.
For immediate assistance, travelers should first contact the applicable airline, cruise line, hotel, resort, tour operator, transportation provider, travel-protection assistance line, or emergency service. Then, notify Fox & Harbor Travel Co. using the contact information included in your final travel documents.
After-hours support is reserved for urgent issues affecting an active trip. Routine planning questions, future-travel requests, price inquiries, and general status updates are not emergencies and will be answered during normal business hours.
Fox & Harbor Travel Co. will provide reasonable travel-related assistance within our role, but we are not a substitute for emergency services, medical professionals, law enforcement, travel suppliers, or travel-protection assistance providers. We cannot guarantee an immediate response or a particular supplier resolution.

Fox & Harbor Travel Co. handles client information with care and uses it only as reasonably necessary to respond to inquiries, plan and manage travel, communicate about services, process authorized payments, meet business obligations, and provide client support.
We do not sell or rent personal information. We may share relevant information with travel suppliers, Avoya, travel-protection providers, payment processors, secure technology providers, and other parties reasonably necessary to provide requested services or comply with legal obligations.
Clients should never send complete credit-card information, passwords, PINs, one-time verification codes, passport numbers, or other highly sensitive information through ordinary email, text messages, social media, voicemail, website comments, or general inquiry forms. Fox & Harbor Travel Co. does not store complete payment-card security information and will provide or direct clients to an approved payment method when needed.
We will not use a client’s testimonial, name, photograph, travel story, video, or other identifiable media for marketing without separate permission. Media permission is voluntary and may be limited or declined without affecting planning services.

These public policies provide a general overview of how Fox & Harbor Travel Co. operates. Your written Client Services Agreement, Planning Fee Agreement, payment authorization, supplier terms and conditions, travel-protection documents, Avoya requirements, and other trip-specific documents may contain additional or more specific terms.
When a signed agreement, supplier rule, host-agency requirement, or applicable law differs from this page, the more specific applicable term will govern.
